Refund & Cancellation Policy

Fair & Transparent Commercial Standards

This Refund & Cancellation Policy governs commercial software engineering consulting, architectural reviews, technical advisory sessions, and bespoke development contracts executed by Akshat Kushwaha (“we”, “us”, or “our”). We are committed to absolute clarity, fair dealing, and mutual accountability in all professional engagements.

1. Scope of Professional Services

Services covered by this policy include:

  • Technical Advisory Sessions: One-on-one or team architectural consultations booked via Calendly or direct invoice.
  • Engineering Sprints & Proof-of-Concepts: Fixed-scope software development, AI model optimization, or latency benchmarking sprints.
  • Retainer Advisory: Monthly or quarterly engineering strategy retainers.

2. Advisory Session Cancellation & Rescheduling

Notice Greater than 48 Hours

If you cancel or reschedule a confirmed advisory call at least 48 hours prior to the scheduled time, you are entitled to either a full 100% refund or a complimentary rescheduling credit.

Notice Less than 48 Hours

Cancellations within 48 hours of a session are subject to a 50% reservation fee due to blocked calendar availability, with the remaining 50% refunded or credited towards a future session.

* In the event that we must cancel an advisory session due to unforeseen personal emergencies, you will receive an immediate 100% refund or priority rescheduling at your preference.

3. Milestone-Based Engineering Sprints

For custom software engineering or system optimization contracts:

  • Milestone Acceptance: Work is delivered in transparent, pre-agreed technical milestones with verifiable criteria (e.g., test suite pass rates, latency thresholds, PR merges).
  • Approval Window: Clients have five (5) business days following milestone delivery to review code and request revisions against specification.
  • Non-Refundable Delivered Hours: Once a milestone is approved or accepted in writing, fees allocated to that milestone are non-refundable, as they represent expended engineering labor and intellectual output.
  • Unused Advance Deposits: If an engagement is terminated prematurely by mutual consent, any unused portion of upfront retainer or uncommenced milestones will be refunded in full within seven (7) business days.

4. Processing Timelines & Methods

All approved refunds are processed within 5 to 7 business days:

  • Refunds are remitted exclusively to the original payment method (bank wire, UPI, Stripe, or corporate card) to prevent fraud.
  • Depending on your banking institution or card issuer, funds typically reflect in your account within 3 to 10 additional business days after issuance.
  • We do not charge processing penalties for legitimate, eligible refunds.
